Emails get kept as PDFs for a reason: a receipt for an expense claim, a booking confirmation for a visa application, a thread for a dispute. Most mail clients can save or export a message as HTML, and converting that here gives you a document with the text intact and the layout preserved. It never touches a server, which matters when the message is about money or a legal matter.

How to save an email as a PDF

  1. 1

    Save the message as HTML

Most mail programs can save or export a message. In a webmail client, open the message and save the page from your browser.

  2. 2

    Open it here

Add the .html file, plus the image folder if the message had pictures in it.

  3. 3

    Set margins and convert

A4 or Letter with normal margins reads best for a message. Download the PDF and file it.

Why the message should not go through a converter site

An email holds addresses, order numbers and often more. Uploading it to a conversion service to make a PDF of it hands a copy to a company you have no relationship with. This does the job on your own machine.

Attachments too

Merge the message PDF and its attachments into one file so the record stays together.

Frequently asked questions

Will the attachments come along?+

No, attachments are separate files. Convert or add them separately, then merge everything into one PDF if you want the record in a single document.

Do the remote images show?+

Only if they were saved with the message. Nothing is fetched from the internet, so tracking pixels and remote images simply do not load, which is a small privacy bonus.

Is this good enough as evidence?+

For an expense claim or a personal record, yes. For a formal dispute, keep the original message file as well, since it carries the headers a PDF does not.

Is the message uploaded?+

No. It is rendered in your browser and never sent anywhere.
