How to make a business document

  1. 1

    Choose the format first

Nepal, India, the UAE, the UK, the US, or set it yourself. That fixes the currency, the tax rate and name, the paper size, the registration number each side has to print, and the look of the page.

  2. 2

Add a letterhead if you want one

Upload a PNG or JPG logo, put it left, centred or right, set how wide it should be and nudge it into place. Your address and registration line print underneath it.

  3. 3

    Pick the document

Fifteen of them, shelved under Selling, Buying, Money and People: quotation, proforma invoice, cash memo, delivery note, credit note, purchase order, goods received note, purchase return, payment receipt, payment voucher, rent receipt, salary slip and the three standard letters.

  4. 4

Fill in the details and download

Your business, the other party, the lines or the amount. The page on the right redraws as you type, then download an A4 or Letter PDF with selectable text.

Why make business documents in the browser?

A quotation, a rent receipt, a payslip or an offer letter is a small document with real consequences, and it usually contains exactly the details you would not want sitting on someone else's server: client names, salaries, tax numbers, addresses. The usual options are a word processor template that drifts out of shape every time you edit it, or a web app that wants an account and your data. This is neither. One template engine draws all fifteen documents the same way, in the format your country uses, the arithmetic is done in whole cents, and the file is written on your own machine.

Frequently asked questions

Is any of this sent to a server?+

No. The document is laid out and the PDF is written in your browser. Nothing is uploaded, which matters when the paper carries a client name, a salary or a tax number.

Which documents can it make?+

Fifteen. Selling: quotation, proforma invoice, cash memo, delivery note and credit note. Buying: purchase order, goods received note and purchase return, which is the debit note you raise when goods go back. Money: payment receipt, payment voucher and rent receipt. People: salary slip, offer letter, experience certificate and no objection certificate. They all share one layout engine, so the look stays consistent across everything you send out.

What does choosing a country actually change?+

Nepal sets rupees, VAT at 13 percent, PAN fields for both sides, A4 and the ruled box look that printers here use. India sets GST at 18 with GSTIN fields. The Emirates sets dirhams, VAT at 5 and TRN. The UK sets pounds and VAT at 20. The United States sets dollars, Letter paper and no tax number at all, because American stationery carries none. Anywhere else lets you name the tax and pick the currency yourself.

Can I put my logo on it?+

Yes. Add a PNG or JPG in the letterhead step and it is drawn into the PDF at the size you set, on the left, in the middle or on the right, with two sliders to move it if it sits better a little across or down. The logo is read on your device and never uploaded, and it is not kept between visits: only how you placed it is remembered.

How do I show a deduction on a payslip?+

In its own table. A payslip is laid out as two tables side by side, earnings on the left and deductions on the right, with the employee name, number and tax number above them and the net pay in a band of its own. One button fills in the lines your country uses: SSF, provident fund, CIT and tax at source in Nepal, provident fund, professional tax and TDS in India, National Insurance and PAYE in the UK. A line left at zero is not printed, and a payslip never picks up VAT or GST.

What is the difference between a purchase return and a credit note?+

Which side of the deal you are on. When you send goods back to a supplier you raise a purchase return, which debits their account. When a customer sends goods back to you, you issue a credit note, which reduces what they owe. Both reference the invoice they correct.

Does it write the amount in words?+

Yes, on receipts, quotations and orders. You can switch between the lakh and crore system and the million and billion system, and the currency word follows the currency you picked.

Can I add tax and a discount?+

Yes. Name the tax whatever your country calls it (GST, VAT, sales tax), set the rate, and add a discount. The discount comes off before the tax is worked out, and every figure is kept in whole cents so the total never drifts.

Are my business details saved?+

Your own name, address, currency, tax rate, signature and colour are kept in this browser only, so the next document starts filled in. The other party is never saved. Clearing your browser data removes it.

Is the letter text fixed?+

No. Filling in the fields writes a first draft of the letter, and you can edit every word of it before downloading. Rewrite from the fields puts the draft back if you want to start again.

Is this legal advice?+

No. These are the usual formats for everyday business paperwork, not advice. For anything with legal or tax consequences, have the wording checked by someone qualified in your country.
